REQUEST FOR QUOTE W91247-11-T-0017 The Mission Installation Contracting Command Center Fort Bragg, NC, is a seeking quote for procurement W91247-11-T-0017; a Firm-Fixed-Price contract in support of Army Family Action Plan (AFAP), Leadership Conference, 07-11 March 2011, to be held in the Atlanta, GA area. This solicitation is a total small business set-aside; the North American Industry Classification System (NAICS) code is 721110 Hotels (except Casino Hotels) and Motels. All prices shall include delivery, service fees, and discounts if applicable. Compliance with DFAR 252.232-7003 is mandatory. The offeror shall provide a quote using the pricing schedule provided in Attachment 1 of this combine synopsis/solicitation. The Government will award a contract resulting from this combine synopsis/solicitation to the responsible offeror whose offer conforms to description of work in Section 2 and will be most advantageous to the Government, price and other factors considered. For further information please email anne.m.talbot@us.army.mil. 1.Description of Work Army Family Action Plan Conference 7-11 March 2011 1. General. United States Army Forces Command will host its Army Family Action Plan (AFAP) Conference on 7-11 March 2011. 2. Requirements Specifics. 2.1. Designated hotel should be less than two (2) mile but not greater than five (5) miles from the Atlanta, Hartsfield International Airport. The Hotel must be able to comply with all terms and conditions of this combine synopsis solicitation. The offeror shall provide a representative on site. 2.2. Provide one operations center for the duration of the conference 7 - 11 March 2011. This room should accommodate 15 people and serve as the central communications center for the conference. Equipped with, dedicated phone line, fax, high speed copy machine, 5 laptops, and two printers. 2.3. Provide 10 single occupancy rooms on 6 -11 March 2011; check-in 3:00 p.m. and check out noon; 11 March 2011; 2.4. Provide 68 single occupancy rooms check in 3:00 p.m., 7 Mar 2011 and check out not later than noon on 11 Mar 2011; Request that rooms are available for check-in not later than 4:00 pm. Provide a place in the hotel to store guest luggage until rooms are available for check-in. All attendees will check-out after 12:00 p.m. on 11 March 2011. If the conference ends after 12:00 pm, luggage shall be stored on site in a secured location. 2.5. On 7 March 2011, provide one ball room that seats 120. Ballroom shall set up in a class room type setting using six foot tables to accommodate three people per table. White clean table clothes with table skirts around each shall be provided on the tables, with water, glasses, pens, and writing tablets. The ball room shall be set up and available by 4:00 p.m. on Monday, 7 March 2011 and shall include standard Audio Visual package (computer, projector, screen and cables, 3 wireless mics, podium with mic, lavalier). Provide a refreshment break from 3:15 - 4:00 p.m. 2.5.1. Hotel shall provide a room for the opening reception that will accommodate 120 attendees. Hotel shall set up high boy style tables for attendees Hotel shall provide heavy hors d'oeuvres (appetizers). For 120 people, including coffee, tea, and various regular and diet soft drinks. Set up time for this room is from 5:30 p.m. to 7:30 p.m. Provide audio capability with podium/hand held mic and lavalier 2.6. On 8 March 2011, provide one ball room that seats 75. Ballroom shall set up in a class room type setting. Using six (6) foot tables to accommodate three people per table. White clean table clothes shall provide on the tables, with water, glasses, pens, and writing tablets. The ball room shall be set up and available for use from 7:30 a.m. until 12:00 p.m. and shall include standard Audio Visual package (computer, projector, screen and cables, 3 wireless mics, podium with mic, lavalier). Provide mid morning break (9:45a.m.). From 12:00 p.m. until 5:00 p.m. provide five (5) breakout rooms, set in U-shape to accommodate 12 people, with additional seating at back of room for visitors. Six (6) foot rectangular tables shall be provided to accommodate three people per table. White clean table clothes shall be provided on the tables, with water, glasses, pens, and writing tablets. Include standard Audio Visual package (computer, projector, screen and cables, printer, flip chart stand) Provide a refreshment break at 2:15 2.7. On 9 March 2011, provide five (5) breakout rooms, set in U-shape to accommodate 12 people, with additional seating at back of room for visitors. Room should be available from 7:00 a.m. until 5:00 p.m. Using six foot tables to accommodate three people per table. White clean table clothes shall be provided on the tables, with water, glasses, pens, and writing tablets. Include standard Audio Visual package (computer, projector, screen and cables, printer, flip chart stand) Provide a.m. refreshment break at 9:30 and PM break at 2:15 2.8. On 10 March 2011, provide five (5) breakout rooms, set in U-shape to accommodate 12 people, with additional seating at back of room for visitors. Room should be available from 7:00 a.m. until 5:00 p.m. Using six foot tables to accommodate three people per table. White clean table clothes shall be provided on the tables, with water, glasses, pens, and writing tablets. Include standard Audio Visual package (computer, projector, screen and cables, printer, flip chart stand) Provide AM break at 9:30 The ball room shall be set up and available for use at 2:00 p.m., and will seat 120. Ballroom shall set up in a class room type setting. Using six foot tables to accommodate three people per table. White clean table clothes shall provide on the tables. Provide standard Audio Visual package (computer, projector, 2 screens and cables, podium with mic). Provide PM break (2:15 p.m.). 2.9. On 11 March 2011, provide one ball room that seats 120. Ballroom shall set up by 6:30 a.m. in a class room type setting. Using six foot tables to accommodate three people per table. White clean table clothes shall provide on the tables, with water, glasses, pens, and writing tablets. Provide standard Audio Visual package (computer, projector, 2 screens and cables, 4 wireless mics, podium with mic, lavalier). Provide a.m. 9:15 a.m. 2.10. The hotel shall provide a buffet-style breakfast on 8-11 March 2011 for 100 guests, breakfast shall be made available from 6:00 a. m. until 7:30 a.m.. The Hotel shall provide buffet lunch on 8 - 10 March 2011 serving up to a maximum of 100 guests, lunch be served from 11:30 am. Until 12:30 p.m. 2.11. The facility shall contain an indoor fitness facility and the use of the gym and its fitness equipment shall be at no additional cost to the guest. The fitness equipment shall include a variety of weight and cardiovascular equipment. 2.12. Hotel must offer complimentary shuttle to and from Hartsfield Jackson International Airport and be available 24hrs/day. 2.13. Hotel must be in close proximity to Fort McPherson, GA to enable FORSCOM leadership to attend mutation and to facilitate briefings by FORSCOM personnel to include the Commanding General. 2.14. Hotel should be within walking distance to affordable restaurants (no rental cars will be provided) 2.15. Hotel shall provide complimentary parking for conference attendees. 2.16. Hotel shall provide complimentary wireless usage in all hotel guest and meeting rooms. 3. Any hotel considered will have a site inspection so that the command can assess in person the potential compliance with the requirements of the conference and be better prepared to assess the actual ability of the facility to support the AFAP Conference prior to award. 4.
