Sources Sought THIS IS A REQUEST FOR INFORMATION/SOURCES SOUGHT ONLY. AS OF THE DATE OF THIS ANNOUNCEMENT THERE IS NO SOLICITATION PACKAGE AVAILABLE. This Request for Information/Sources Sought (RFI) is issued solely for information and planning purposes; it does not constitute a Request for Quote (RFQ) or a promise to issue an RFQ in the future. This request for information does not commit the Government to contract for any supply or service whatsoever. The Government WILL NOT PAY for any information received in response to this request for information nor will the Government compensate the respondent for any cost incurred in developing the information for the Government. Any request for copies of solicitations will not be addressed since this is a request for information, not a request for quote. It is requested that information in response to this RFI be submitted NO LATER THAN July 2, 2010 to Mr. Denny Braccia, National Park Service, 200 Chestnut Street, 3rd Floor, Philadelphia, PA 19106 or by email at Denny_Braccia@nps.gov. Not responding to this RFI does not preclude participation in any future RFP. Any comments provided may or may not be included in a formal solicitation. The Government will not release any information marked with a proprietary legend received in response to this RFI to any firms, agencies or individuals outside the Government without written permission in accordance with the legend. Respondents may provide information on any currently available product that meets the National Park Service's requirements. The National Park Service, Northeast and National Capitol Regions (a 13 state area) is seeking sources to hold a conference for senior staff members and Park Superintendents. The dates of the event are set for October 25-29, 2010. The Northeast Region covers the following states: ME, VT, NH, NY, MA, RI, CT, PA, NJ, DE, MD, VA & WVA. The National Capitol Region covers the District of Columbia and parts of MD and VA. A complete listing of all the National Parks located in these regions is attached. The NPS is seeking sources that can provide and/or accommodate the following requirements: (1) 120 sleeping rooms (single occupancy; individually paid) preferably offered at or below Government per diem lodging rates as listed in the Joint Travel Regulations issued by the General Services Administration (GSA); (2) daily plenary sessions: the plenary conference room must accommodate 125 people, have limited obstructions, have theater-style seating, one front projection screen; a 12' by 12' (deep) stage at least 6" off the floor; a podium with microphone wired into house sound; and stairs on both sides of the stage; (3) A/V equipment, (as well as applicable technical assistance and expertise), to include power point projections and video display for any and all sessions; (4) Up to six breakout rooms, which will be available for use up to three times per day during the entire length of the conference. Each breakout room must have a capacity of up to 25 participants and have the flexibility to confirm to a variety of configurations, (to include class room, theater, and rounds), as well as a dais (8' by 4') and a podium with microphone. Each of the 6 breakout rooms must have a video screen, equipment table and all necessary cords; (5) Provide food and beverage capabilities. (A mid-morning coffee break (coffee, tea, juices and breakfast breads) as well as an afternoon soda/cookie break is to be provided on Tuesday, Wednesday and Thursday. An opening night reception will be held on property with food and beverages costs covered by an outside source. It is possible that a closing night awards reception or dinner will also be held on property also with food costs being provided by an outside source. In the case of both events the beverages will be cash bars covered by the participants); (6) The venue/hotel must be located within either the Northeast Region or the National Capitol Region of the National Park Service but not within a 50 mile radius of any of the National Parks or Regional Offices located in these regions. Not responding to this announcement shall not preclude participation in any future RFQ. Any comments provided may or may not be included in a formal solicitation. The purpose of this announcement therefore it to request information pertaining to the requirements described above. Interested vendors are requested to provide commercial pamphlets, operating manuals/data and/or any other documentation that will assist National Park Service personnel to recognize possible sources.
