Description
This solicitation is here by ammended with the following: Contractor shall provide telephone answering service to all Fort Bragg Health Care Beneficiaries after normal duty hours from 7PM to 7AM Monday thru Friday and 8PM to 7AM Saturday, Sunday and Holidays. End of ammendment Questions and Answers : 1. Does this procurement exceed or fall within the simplified acquistion threshold? Exceeds 2.Can you provide examples of questions that will be asked? Yes 3.I assume the hours listed in the bid portion of the document are the hours expected? Yes 4.Does the operator also capture the callers reason for call i.e. symptoms, complaint, aliment etc? Yes 5.How many primary care management sites are there? How is the primary care management site determined by the operator? Do we assume the caller knows the correct information? Or is it based solely and specifically on the site the caller called? Based on the site the caller called. 6.In the Statement of Work it states 1.6 A representative of the Contractor is required to meet bi-annually with the COR for information purposes. Can this meeting could be held via telephone conference or web conference or is it required to be a face to face meeting? It can be via telephone conference. 7.Is there a base rate for the month or is all calls based on the 600 minutes? Based on the 600 minutes 8.What format do you prefer to document past performance for this bid? No format is preferred, whatever your company is most use to. 9.What is the (historical or anticipated) number of monthly inbound and outbound calls to be completed each month? Anticipated inbound call numbers are within the listed clins. Number of outbound calls to the MTF are not charged to the government and will vary. 10. Should a beneficiary require/ request a call back from their primary care manager for an urgent medical need that cannot wait until the next business day, what does the answering service do? Answering service will be provided a list of phone numbers and pager numbers to contact and provide patient demographic and call information for all urgent medical needs that can not wait until the next business day. All emergencies (loss of life, limb or eyesight) will be directed to proceed to the emergency room nearest them. 11. Messages are to be forwarded to designated primary site the next morning. Approximately how many fax numbers/ sites are there? The SOW states that electronic mail messages (not faxes) are to be forwarded? For purposes of this solicitation the number of sites may vary. 12. Approximately how many individuals (active duty, retired personnel, dependants, etc.) are covered under the Tri-Care Programs at Womack Army Medical Center? This will vary depending on future congressional or DoD mandates. At this time we are currently sitting at an estimated population of 120,000.00 13. Do you have an existing contract/ vendor for this service? Yes 14. The previous solicitation included option periods through September 2013, why has this new solicitation been issued? Option was not exercised 15. Would you consider amending the pricing sheet to show the per minute rate being proposed by each vendor as services are to be billed only for the number of minutes actually used per month? No 16. The last line of the solicitation it states the following: Place of Performance: Womack Army Medical Center 2817 Reilly Rd Fort Bragg NC Can you please clarify that this is correct? The actual place for the phone service to take place will be the actual place your company performs the telephone service from. 17. Can you advise me where we are supposed to send the RFPs to please, is it electonically or via USPS? Either way is fine, but I prefer email, and you can email to the following email address naomi.ruth.mariani@ us.army.mil 18. CLIN QTY PRICE TOTAL 0001 12 MO $__(*A)____ $___(*B)___ TELEPHONE ANSWERING SERVICE FOR FAMIL....... Should the *A price be the line item price per month or the extended price per year? A should be for the month and B should be for the year 19. Are minutes estimated at 600 as a base or calculated for a set number of minutes per call For example, Clin 0001 indicates 'The monthly amount is based on 600 minutes? The 600 is what we have established on how many minutes we use a month. There is also a clin for overages. 20.I t states in the upper portion of the request that coverage will begin at 11pm to 7am on Monday through Friday and 8pm to 7am on Saturday and Sunday and holidays. Later in the solicitation, it states the coverage will begin at 2000 to 0700 daily. Can you clarify for us the coverage times during the week? 7 PM to 7 AM I have ammended the solicitation to reflect thia as well. 21. Could you tell me where to locate the questions and answers for the above referenced solicitation? The updated solicitation indicates that the questions and answers can be viewed by vendors, but I have been unsuccessful locating the responses.? An ammendmant to the solicitation will be done with the questions and answers as an attachment.
