Description
This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in Subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation; proposals are being requested and a written solicitation will not be issued. See attahced RFQ This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in Subpart 12.6 and FAR part 13, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation, Solicitation Number W911RZ-10-T-3010. Fort Carson intends to award a Firm-Fixed-Price Contract for lodging and conference services no closer than 80 miles outside of Fort Carson, Colorado and no further than 15 miles from Denver, Colorado (to include the Denver Metro area. The North American Industrial Classification System (NAICS) code for this procurement is 721110, with a small business size standard of $7 million. This solicitation will end on 17 May 2010, 2:00 p.m. Mountain Time. Quotes received after this time will not be considered. The total proposed price shall be all inclusive (include any incidental charges, i.e. parking, surcharges, etc). Individual room charges will be the responsibilities of the person occupying the room. The period of performance is 22 24 May 2010. The quantities and charges shall not exceed what is authorized and specified in the contract and associated CLINs. Contractor qualifications and specifications. The vendor shall be located no closer than 80 miles outside of Fort Carson, Colorado and no further than 15 miles from Denver, Colorado (to include the Denver Metro area) for 82 adults and 40 children, to include lodging, childcare, food, conference space, and audio/visual equipment. The vendor must be capable of providing all services and facilities listed in this solicitation on premise. The following numbers are maximum numbers and should be used for bidding purposes only. The contractor shall only bill for the quantity in the resulting purchase order. Also the vendor shall provide parking vouchers to all attendees if applicable. 3.Lodging: The vendor shall provide 41 sleeping rooms for couples and children for two nights beginning on 22 May 2010, with checkout on the morning of 24 May 2010. These rooms shall include a queen size bed or larger for the adults, beds for the children and private baths. Families need to be provided a private room that allows them to live like a family (i.e. church camps with bunk beds and group housing are NOT acceptable). The living area shall have a television. 4. Food and Beverages: The vendor shall provide all meals as follows: the buffets shall include a variety of choices; to include at least: two entrees, two sides, salad, bread, dessert and beverages. Released for the evening c.Monday, 24 May 2010: i.0700 Breakfast (82 Adults and 40 Children) ii.0800 Child care check-in iii.0830 Session 7 iv.0930Break (Snacks provided) v.1010 Wrap-Up and Closeout vi.1010 Session Seven vii.1120 Childcare pick-up viii.1130Hotel Checkout d.Snacks 22 24 May 2010: See Special Requirements #8 in the Statement of Work. 5.Meeting Space: The vendor shall provide one large Conference Room for training for the three days that can accommodate 82 adults in accordance to the statement of work schedule. The conference room should be set up theater style with rectangle tables to accommodate 4 people per table (2 Couples) seated on one side facing the presentation area. There shall also be two extra tables in the conference room for training materials and projection equipment. 6.Audio/visual equipment: The vendor shall include a projection screen that is large enough for everyone in the room to view comfortably. The projection system should be able to adapt to a computer for projecting information to be viewed by all attendees. The audio system shall have the capability of projecting sound from computer files. There shall be one microphone at the podium and adequate sound system to project the microphone. There shall also be one wireless remote microphone and one lapel microphone for the speakers. The military unit will be providing their own computer. 7.On-site child-care service: There shall be at least one conference room located in close proximity to the meeting room for children 2 years of age and under and at least one room for children 3 years of age and older. Childcare shall be provided by certified child care providers. Childcare times shall take place during meeting times in accordance to the statement of work schedule. The contractor shall provide games and activities for the children as well as a television and DVD player with movies for the children. The movies shall be pre-approved by the Chaplain before they are shown to the children. The childrens ages are as follows: AGENumber of Children 0-2 10 3-5 12 6-8 10 9-12 6 10+ 4 8. Specific Requirements: a.Contractor shall provide all equipment and supplies for meals listed above. The contractor shall also provide the following: i.Make sure that the room is clean prior to the event. ii.Have snacks such as muffins, Danishes, croissants, cookies or brownies, drinks including tea and water, and coffee arranged in the back of the room for easy access and availability for the participants. Also make sure that the snacks and drinks are stocked twice during the day. Provide napkins, silverware, cups, and all other necessities. iii.Provide the staff necessary to assist with the set up of the room, the placing of the snacks and drinks, and also to assist with the serving of the meals as well as the clean-up for all meals. 7.HOURS OF OPERATION: These services will be provided by the contractor from 0700- 2100 on 22 24 May, 2010.
