Description
This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in Subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation; proposals are being requested and a written solicitation will not be issued. This announcement constitutes the only solicitation. Fort Carson intends to award a Firm-Fixed-Price Contract for conference services at a mountain resort location. The North American Industrial Classification System (NAICS) code for this procurement is 721110. This solicitation will end on 1 December 2009, 10:00 a.m. Mountain Time. The Contractor shall propose the following Contract Line Item Numbers (CLINS): CLIN 0001 Total Lodging _________ CLIN 0002 Total Food and Beverage Charges _________ CLIN 0003 Total Audio Visual___________ CLIN 0004 Total Childcare ____________ Total: __________ The total lodging proposed price shall be all inclusive. (Include any parking fees or resort surcharges, etc.) The period of performance is 4-6 December 2009. STATEMENT OF WORK 1. SCOPE OF WORK. The period of performance is 4-6 December 2009. There will be 60 married couples attending (total 120 adults and 75 children). The contractor shall be located a minimum of 70 miles and a maximum of 150 miles from Fort Carsons main gate. Services to be provided shall include: a.Lodging 60 private lodging rooms to include private bath and television. A queen- sized bed or larger is required for the adults and beds or roll-aways are required for the children. b.A conference meeting room large enough to accommodate 120 people set up with 8-10 top round tables for married couples to sit at during the training sessions. Training sessions will be conducted on Friday, 4 Dec 1900-2030hrs, Saturday, 5 Dec 0830-1130hrs, and Sunday, 6 Dec 0830-1030hrs. Following Saturday evening dinner, married couples will have the opportunity to watch the Fireproof movie together in this room from 1900 2100hrs. c.Audio/visual equipment package to include a projection screen that is large enough for everyone in the room to view comfortably. The projection system shall be able to adapt to a computer for projecting information to be viewed by all attendees. The audio system shall have the capability of projecting sound from computer files. There shall be one microphone at the podium, one wireless remote microphone, and one lapel microphone for the speakers. d.Two extra tables in the conference room for training materials and projection equipment. e.Water, coffee and tea service during the training sessions. f.Meals: a.A breakfast buffet meal to include cereals, eggs and meats that is served to all participants 0730hrs on Saturday and Sunday. b.A lunch to include soup, salad and sandwiches served at 1200hrs on Saturday. A boxed or sack lunch served at 1045hrs on Sunday. c.A buffet style dinner meal with an option of two entrees, two sides, a salad and dessert served at 1800hrs on Friday and Saturday nights. d.Snacks to include soda and popcorn for the movie on Saturday night at 1900hrs. g.On-site childcare service. The contractor shall provide a separate room in close proximity to the meeting room for childcare. There shall be certified childcare providers on site to provide childcare during training sessions. Childcare services shall begin 30 minutes prior to training times and end 30 minutes after training sessions. Saturday evening childcare is also required from 1830 2100hrs. The childrens ages are as follows: a.Ages 0-2 - 20 b.Ages 3-5 17 c.Ages 6-8 13 d.Ages 9-11 8 e.Other Children not requesting childcare Ages 12 and above - 17 h.Check out shall be at 1100hrs i.Provide an area for storing personal luggage after check-out. j.All necessary materials and personnel to assist in the performance of the conference to include room set-up, room tear down, audio visual hook ups and operation. The Government intends to evaluate offers and make award without discussions; however, this does not preclude the Government from having discussions if it is in the best interest of the Government to do so. To be eligible for an award, contractor must be registered in the Central Contractor Registration (CCR) database. A contractor can contact the CCR by calling 1-888-227-2423 or e-mail at http://www.ccr.gov. NO EXCEPTIONS. A DUNS (Dun and Bradstreet) number is required in order to register. Quotes shall be e-mailed to amy.w.franklin@us.army.mil. An official authorized to bind your company shall sign the quote. The food and beverage menus shall be included in your quote.
