Description
This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in Subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation; proposals are being requested and a written solicitation will not be issued. This announcement constitutes the only solicitation; proposals are being requested and a written solicitation will not be issued. Solicitation W912L2-10-Q-0001 is being issued as UNRESTRICTED. This solicitation incorporates provisions and clauses for commercial items in effect through Federal Acquisition Circular 2005-37. The associated NAICS code is 721110. COMMERCIAL ITEM DESCRIPTION: The Arizona Army National Guard Yellow Ribbon Program has a requirement for Hotel or Conference center that can provide meeting space for approximately 400 people in support of the Yellow Ribbon and Reintegration Program. The location for this event is Tucson, AZ. The dates are SATURDAY and SUNDAY December 5-6, 2009. The vendor shall comply with government and commercial standards in accordance with the requirements as stated. Additional information is provided below. CLIN 0001 Conference Room: Conference center that can provide meeting space for approximately 300 people in support of the Yellow Ribbon and Reintegration Program for Saturday December 5, 2009. On Saturday December 5th from 8:00 am 6:00 pm the conference center will provide one on-site conference room to accommodate 300 seated in a crescent rounds allowing all attendees to see and hear the presentation clearly and take notes. The attendees will be returning to this room throughout the day therefore this room must remain set in this way for the entire time mentioned. Facility should have ample parking space for 300 vehicles. On Saturday at 9:00 am a registration desk or a minimum of 3 six-foot tables with 6 chairs for registration that will easily accommodate the attendees as they enter the conference area. Audio/visual (projector, screens and integrated speaker system) that is adequate for size of room, podium with wireless microphone that will also be provided by the conference center. The sound needs to be heard clearly in the whole room. All audio and visual components must be adaptable to standard laptop outputs. One six foot table in the front of the room. Facility should have ample parking space for 300 vehicles. On Sunday at 7:00 am a registration desk or a minimum of 3 six-foot tables with 6 chairs for registration that will easily accommodate the attendees as they enter the conference area. Quantity (60) Each $______________________ CLIN 0004 Breakouts Rooms: On Saturday December 5th from 9:00 am 3:00 pm, 6 breakout rooms set in classroom seating to accommodate approximately 70 people per room. Breakout rooms must be in the same general area (within a 1 minute walk) as the conference room. On Saturday December 5th from 9:00 am 3:00 pm, the conference center will provide audio visual (projector, screens and integrated speaker system) that is adequate for size of room, a table in the front of the room, wireless microphone, internet connection, and flip chart easel with pad and markers in each room. Note pads and pens should be provided at each seat in the room. Quantity (6) Each $______________________ CLIN 0005 Breakouts Rooms: On Sunday December 6th from 7:00 am 3:00 pm, 5 breakout rooms set in classroom seating to accommodate approximately 80 people per room. Breakout rooms must be in the same general area (within a 1 minute walk) as the conference room. On Sunday December 5th from 9:00 am 3:00 pm, the conference center will provide audio visual (projector, screens and integrated speaker system) that is adequate for size of room, a table in the front of the room, wireless microphone, internet connection, and flip chart easel with pad and markers in each room. Note pads and pens should be provided at each seat in the room. Quantity (5) Each $______________________ CLIN 0006 Childcare Rooms: On Saturday December 5th 9:00 am 3:00 pm, 4 conference rooms set with 4 round tables with 6 chairs in each room to accommodate 24 people. rooms must be located together, near a bathroom and in a secure location; these rooms will be used for child care and youth activities. The conference center will provide audio visual (projector, screens and integrated speaker system) that is adequate for size of room. At least one of these rooms must have high-speed internet connection. Quantity (4) Each $______________________ CLIN 0007 Childcare Rooms On Sunday December 6th from 7:00 am 4:00 pm, 4 conference rooms set with 4 round tables with 6 chairs in each room to accommodate 24 people. rooms must be located together, near a bathroom and in a secure location; these rooms will be used for child care and youth activities. The conference center will provide audio visual (projector, screens and integrated speaker system) that is adequate for size of room. At least one of these rooms must have high-speed internet connection. Quantity (4) Each $______________________ CLIN 0008 Vendor Support Room: Sunday, December 6, 2009 from 7:00 am 4:00 pm the conference center will provide 25 clothed tables (preferably 6-foot rectangles) with two chairs per table in a room no smaller than 3,000 sq. ft. This room must be in the general vicinity of the conference and breakout rooms. Quantity (1) Each $______________________ CLIN 0009 Meals and Refreshments: CLIN 0009 A-Meal Requirements for Saturday December 5th: A continuous hot lunch buffet for approximately 300 adults to be provided from 12:00 pm 1:30 pm. Buffet lines need to provide sufficient number of lines for attendees to expedite transition from buffet to dining area. There will need to be sufficient food for all attendees to reenter the buffet as they wish. Quantity (300) Each $______________________ CLIN 0009B-Meal Requirements for Saturday December 5th: 30 box lunches will be provided for the young children. Consider the various ages of the children and their abilities when preparing the boxed lunches. (i.e. juice, milk, and water for the children and the same selection in addition to soda for the youth.) Quantity (30) Each $______________________ CLIN 0009C-Meal Requirements for Saturday December 5th: Throughout the day the conference center will provide beverages (soda, coffee, water etc&) accessible for 300 attendees to enjoy on their breaks and to bring to their next breakout sessions. This eliminates the need for in-room water pitchers/glassware. Vendors must bid these beverages keeping in mind we cannot forecast actual consumption. Vendors should bid at an amount they are comfortable with no matter the consumption. A final count for the total number of hotel rooms/ and attendees will be provided at least ONE week prior to the even. The Government will only pay for meals and hotel rooms for the final count given to the hotel. The Government reserves the right to visit the site prior to award to ensure that the facilities are adequate and conform to the SOW.
