- AMENDED TIME FOR QUOTE SUBMISSION. QUOTES ARE DUE NO LATER THAN 2:55 PM EST. The contract specialist will leave the office promptly at 3:00 PM EST & will not be able to confirm receipt on quotes received after 2:55 PM EST on June 12, 2009. Note the amended proposal submission time. All quotes must be submitted NO LATER THAN 2:55 PM EST on June 12, 2009. Quotes submitted after 2:55 PM EST will not be considered. Q: When do we get access to load in to the Lincoln Ballroom? A: Monday morning, September 21, 2009. Q: Do you have a rehearsal/presenter review time planned? A: We would like to have the room set and ready for run-thru by 3pm on the 21st. Q: Would you like us to provide presentation computers for the General Session/Awards? A:Yes, please provide these but price them separately. Q: Would you like us to provide PowerPoint technical support for any changes/revisions to presentations? A: No. Q: Is there any recording of the breakout rooms required? A: No. Q: There is no line item for labor in the template provided. Is it acceptable to create line item 0008 to list the labor charges? A: The contracting office can not advise you of how to prepare your proposal. Q: In regards to theatrical lighting flown from truss: The only lighting detailed in the RFQ is for a Gobo. This is normally a single lighting instrument dedicated to the Gobo. Is there a lighting clause that was omitted? A: You are correct about the lighting requirements. We will not be using theatrical lighting for this event but are asking about this qualification as a way of evaluating the experience level of the vendors. No lighting clauses were omitted. Q: In regards to Video Playback on DVcam: No DVcam is specified in the equipment list, only DVD is specified. Was the DVcam omitted? A: The video playback will be from DVDs only. DV Cam is not required. Q: The RFQ specifies no scenic elements. Am I to understand that there will be elements provided by others? A: We are likely to use only plain staging with the exception of perhaps some black pipe and drape. Vendors may make recommendations for scenic elements but these should be priced separately. Q: No teleprompting equipment is requested. Will the IRS provide the equipment and need a technician to operate it? A: We will not be using a teleprompter. Q: No uplink or downlink equipment is requested. Should we be anticipating such a requirement. A: It is possible but unlikely. If satellite becomes a new requirement we will make a contract modification. Q: No webcasting is requested. Should we anticipate this requirement? A: No. Q: What is the due date & time for proposal submissions? ***A: FRIDAY, JUNE 12, 2009 AT 2:55 PM EST. LATE PROPOSALS WILL NOT BE CONSIDERED.*** Q: How should I submit my proposal? A: Proposals can be submitted via email to Bridgette.Otero@irs.gov or via fax to (202) 283-1365. They can also be mailed to Bridgette Otero at 6009 Oxon Hill Road, Suite 900, Oxon Hill, MD 20745. Note that proposals must be RECEIVED no later than 2:55 PM EST on Friday, JUne 12, 2009. LATE PROPOSALS WILL NOT BE CONSIDERED.
