Description
This document specifies the unique requirements of the space needs. Synopsis – Conference Room Needs for April Meeting Introduction The Transportation Security Administration (TSA) is seeking meeting space for two event sessions in July and September of 2009 and would like interested vendors to provide draft hotel agreements that outline the costs associated with meeting the requirements described herein. Location of Performance TSA requires that the meeting space/hotel be located within the Washington, DC/Metropolitan area. Hotels that are within a close proximity to the TSA Headquarters at 701 S 12th Street, Arlington VA, 20598 are required. Period of Performance Session No. 1 – July 27-July 31, 2009 8:00am -5pm Monday through Thursday, 8:00 am-2:00pm Friday Session No. 2 - October 5-October 9, 2009 8:00am -5pm Monday through Thursday, 8:00 am-2:00pm Friday Specific Requirements The hotel shall coordinate and reserve the necessary meeting space in accordance with the following requirements: •One meeting room for the training sessions that can comfortable hold approximately 40 participants. Each meeting room must be preferably 1600 square feet in size (+/- 10% 1440-1760 sq.ft.) per the attached room layout •Handicap Access. The Hotel will arrange for making any special accommodations for handicapped participants. •Light refreshments for the early morning, mid-morning and afternoon breaks for approximately 40 participants for each training session (Refreshments will be provided in accordance with GSA’s FTR) •Audio Visual Equipment as follows: oOne (1) small table for an LCD computer projector with easy access to an AC power outlet (either a direct outlet or an AC extension cord and power strip) oSmall table for classroom materials oLCD computer projector oProjection Screen oPower strips for computer and projector oInternet Access on Thursday’s for each week of scheduled training. oTwo (2) Flip charts with flipchart paper and markers (4 color) Method of Award TSA will enter into an agreement with the hotel that offers the lowest price, and meets all of TSA’s requirements. Hotels may offer an agreement with a total price including refreshments and pricing without refreshments (for conference space and audio/visual equipment only). Point of Contact Interested parties should submit draft hotel agreements prior to the expiration of this posting to Guy Galloway at guy.galloway@dhs.gov. Only electronic documents will be accepted. The Government reserves the right not to pursue any actions, to include the award of a purchase order contract, as a result of this synopsis.
