- 1.0 DESCRIPTION OF SERVICES. This Performance Work Statement (PWS) serves to procure hotel services and space necessary for the staging and supporting the Deputy Under Secretary of the Air Force, Military Personnel Exchange Program Conference. This conference allows USAF Military Personnel Exchange partners assigned world-wide to meet in an open forum with the Deputy Under Secretary of the Air Force and Headquarters Air Force staff to discuss how to balance and meet today's MPEP mission, share lessons learned and best approaches in leading/managing MPEP personnel, facilities, and to develop concrete plans and budgets for the upcoming fiscal year. 2.0 SUMMARY OF REQUIREMENTS. 2.1 Conference will be held from 27 - 30 April 2009. Due to the majority of attendees being in travel status and high-level AF briefers that cannot be rescheduled, it is imperative that the Conference facility be available during the requested time frame. SAF/IAPA anticipates that approximately 40 personnel will attend the four-day MPEP conference. 2.2 The contractor shall ensure the conference site meets the following requirements by conducting seminar site setup and hosting with SAF/IAPA. • Conference Session Meeting Room. Conference Room shall be available from Monday, 27 April 2009 through Thursday, 30 April 2009 from 0700 until 2000 each day. Classroom style seating for approximately 40 people, including tables and all seating in a U-shape with all seats facing the front. • Audio Visual. Contractor shall provide a LCD projector with the ability to display files and presentations from a provided laptop (the screen must be viewable by all attendees), the projector and the laptop shall be capable with the Microsoft 2007 Office Suite (Work, Power Point, Excel, etc...) and be able to view data from a CD-ROM/RW and thumb drive, the room shall be internet capable via direct connection or wireless connection, the conference room shall have a microphone or PA system to project a presenter/briefer's voice, a screen to project the image from the projector, a podium for speakers as well as a wireless device for advancing slides during a presentation. • Snacks and Beverages. The contractor shall provide refreshments during the conference such as coffee/tea service, beverages and light snacks throughout the day. • Support for Speakers. The contractor shall accommodate conference coordinators by having a telephone and fax available for use. 3.0 Lodging and Payment Requirements. The contractor shall have 26 guest rooms available for attendees coming from out of town. Attendees will check in Sunday, April 26, and check out Friday, May 1, 2009, with the possiblity of a late check out. Individuals attending the conference and staying at the hotel will pay their own room charges at the per diem rate.
