- This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in Subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation. The solicitation number is W911RZ-09-T-0127. Fort Carson intends to award a Firm-Fixed-Price Contract for conference services at a mountain resort location. The North American Industrial Classification System (NAICS) code for this procurement is 721110. This solicitation will end on 19 March 2009, 12:00 p.m. Mountain Time. Quotes received after this time shall not be considered. The Contractor shall propose the following Contract Line Item Numbers (CLINS): 0001 Total Lodging _________ 0002 Total Food and Beverage Charges _________ 0003 Total Childcare Charges __________ CLIN 0004 Total Audio Visual___________ Total: __________ Statement of Work The total proposed price shall be all inclusive. (Include any incidental charges, i.e. parking, surcharges, etc.) The period of performance is 22-24 April 2009. 1.The vendor shall host 64 couples (128 adults and 40 children) for the 3BCT, 4ID Strong Bonds Marriage Retreat from 22-24 April 2009. The quantities and charges shall not exceed what is authorized and specified in the contract and associated CLINs. 2.64 Lodging rooms are required for two nights (22 and 23 April 2009). The rooms shall include a queen-sized bed or larger for the adults and beds for the children, private baths, and a television. Rooms shall be private (i.e. church camps with bunk beds and group housing are NOT acceptable). 3.The vendor shall provide 4 buffet meals as follows: a)Wednesday, April 22: i)Adults Dinner (1800-1900) ii)Childrens Dinner (1800-1900) iii)Coffee, tea and water for adults (1330-1500 & 1900-2000) b)Thursday, April 23: i)Adults Breakfast (0800-0930) ii)Childrens Breakfast (0800-0930) iii)Adults Lunch (1200-1300) iv)Childrens Lunch (1200-1300) v)Coffee, tea and water for adults (1000-1200 &1330-1700) c)Friday, April 24: i)Adults Breakfast (0800) ii)Childrens Breakfast (0800) iii)Coffee, tea and water for adults (0800-1000) 4.The vendor shall provide one conference room for training on Wednesday (1330-1500 & 1900-2000 hrs), Thursday (1000-1200 &1330-1700) and Friday (0800-1000). The room shall be furnished with round tables, chairs, podium with microphone, projector screen aprox. 6x6, electrical outlets and DVD capability. The room shall accommodate a total of 128 adults. Conference room shall have air-conditioning and heating capability for climate control. The vendor shall provide computer connectivity with audio and video capability for Government-provided computers. 5.The vendor shall provide a separate conference room space located in the same building in close proximity to the meeting conference room to accommodate vendor-provided childcare services for 40 children. Services are required during meeting room times listed in paragraph 4 above. This room will be conducive to setting up children's activities. The vendor shall provide computer connectivity with audio and video capability and audio and video (large TV and DVD player) equipment and capability for the children's activities areas. a.The ages of the children are as follows: Ages 4-8 Qty 20 Ages 9-12 Qty 20 6.The vendor shall provide childcare services by a licensed childcare provider. The vendor shall provide a list of children's activities provided by the resort sitters, and will furnish all equipment and supplies needed for these activities. 7.CONTRACTOR QUALIFICATIONS AND SPECIFICATIONS: a.The vendor shall be located a minimum of 100 miles from Fort Carson, CO, and a maximum of 200 miles. The vendor shall be capable of providing all services and facilities listed in this Statement of Work on premise. The vendor shall provide a licensed childcare provider for the childcare services. The vendor shall have on-site recreational facilities and be within 5 miles of restaurants and ski slopes. The following factors shall be used to evaluate offers: Price, capabilities, and past performance. The Government intends to evaluate offers and make award without discussions; however, this does not preclude the Government from having discussions if it is in the best interest of the Government to do so.
