Description
During National Recognition Week June 20-24, 2009, the Presidential Scholars Program invites 141 graduating high school students, their teachers, and families to Washington, DC. The kick off event for NRW is the annual Welcome Reception held on Saturday, June 20, 2009 from approximately 7-10pm for the Commission, scholars, their families and their teachers. The approximate needs are as follows: An event space, which can accommodate a reception with a few remarks for 500-600 guests. Ideally the space will be located in or close to Washington, DC and the White House. The location should offer something of educational or cultural value, for example, a museum exhibit. The site should be able to offer security and clean up services as well as be open to outside catering services. The reception would occur approximately from 7-10pm. The time frame stated does not include set up and breakdown time. Catering and audio visual vendors would need time for both. Offers to contract for the proposed space should include a brief corporate capabilities/experience section, event space dimensions and photos, and detailed costs for space rental, security, and clean up services. All responsible vendors may submit a quote, which, if received by the closing date, will be considered by ED. Proposals will be evaluated based on space capacity, aesthetic and educational appeal, location and price. Location and quality of the space are of highest importance. Proposals will be accepted by mail, email, or fax but must be received by the closing date.
