Description
The Social Security Administration (SSA) has a requirement for a contractor to provide conference support services including registration space, conference meeting space, break out rooms, audio visual equipment, AM/ PM breaks, and two working lunches for an estimated 390 participants for a Summit to be held in Nashville, Tennessee from Monday, April 27 to Friday, May 1, 2009. The following space is required: Monday, April 27 – Friday, May 1: Main Meeting space from 7am-8pm for 390 people. Tuesday, April 28 – Thursday, April 30: 10 Breakout rooms required from 7am-5pm for up to 50 people each. Monday, April 27 – Thursday, April 30: Space outside the General Session room to house two 8’ x 10’ booths with electrical outlets and LAN connection. In addition to meeting space, the contractor must provide audio visual equipment including a technician, food services including AM/ PM breaks and two working lunches for 390 people. Food services must be served in an area in close proximity to the meeting space. The facility must also be able to accommodate a minimum of 1,590 sleeping room nights, at the Government per diem rate or less, as follows: 390 rooms per night for April 27,28,29,30 and 30 rooms for May 1. Contractor must be able to receive and store boxes of conference training materials and supplies to be delivered on or after Wednesday, April 22. Other Requirements: Facility must be located in downtown business district, Nashville, Tennessee; must be a reputable chain hotel that is FEMA Approved and be able to offer handicapped rooms if requested by attendees; must meet and have the ability to exceed the number of sleeping rooms requested if needed; and must be in very close proximity to public transportation system, numerous restaurants and located in a secure location. The conference events and the sleeping rooms must be under one roof without overflow into other facilities. A request for quote (solicitation) will be issued on or about Tuesday, March 10, 2009. The solicitation will be available for downloading from the FedBizOpps website and will be available in electronic format only. Note: SSA plans to issue one award to a vendor who can provide all the requirements. SSA is NOT seeking an event planner for this event.
