Description
DESCRIPTION This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in the Federal Acquisition Regulation (FAR) Subpart 12.6, as supplemented with additional information included in this notice. This solicitation is being issued as a Request for Quotations (RFQ). Quotes are being requested and a written solicitation will not be issued. Provisions and clauses in effect through FAC 2005-16 are incorporated into this RFQ. OBJECTIVE The National Science Foundation (NSF) intends to procure meeting space, sleeping rooms, food, and audio visual equipment of a high-quality hotel for the ITEST Panel Meeting to be held on April 22-24, 2009. The hotel must be located within the Washington Metropolitan Area and have a shuttle service or be metro accessible. MEETING SPACE REQUIREMENT: The hotel must provide one (1) large general session meeting room to accommodate 100 attendees on April 22, 2009. A registration room is needed for the first day, outside of the general session room. Twelve (12) breakout rooms are needed for each day to accommodate 12 participants and laptop computers/printer set up in conference style. One office space will be needed for each day. SLEEPING ROOMS REQUIREMENT: The hotel must provide 100 single, private rooms with private baths for the nights of April 21-23, 2009. Participants will pay for their own sleeping rooms, however a room block will be necessary. AUDIO VISUAL REQUIREMENT: Large general session room requirements: one lapel,.one podium, one hand held, corded microphone, one overhead projection package. NSF intends to use an outside vendor for additional equipment, including laptops. The hotel contract must include an outside vendor clause. Breakout rooms and Office space: T-1 lines will be needed in each breakout room and the office space, for each day. FOOD REQUIREMENT: Morning and afternoon breaks for 100 attendees will be needed for the duration of the meeting. NOTE: Pursuant to the National Science Foundation Authorization Act of 1988, NSF may use appropriated funding for special activities which includes meals and beverages. SUBMISSION OF QUOTE: Quotes are due no later than 4:00pm, local Washington, D.C. time, March 2, 2009. Quotes are to be e-mailed to Jannele Gosey at jgosey@nsf.gov. No faxes will be accepted. If you have questions regarding this requirement, please submit your inquiries, via email, to Ms. Gosey, no later than 4:00pm Washington, D.C. local time, February 23, 2009.
