- Introduction The Transportation Security Administration (TSA) is seeking meeting space for a conference in April and would like interested vendors to provide draft hotel agreements that outline the costs associated with meeting the requirements described herein. Location of Performance TSA requires that the meeting space/hotel be located within the Washington, DC/Metropolitan area. Hotels that are within a close proximity to the TSA Headquarters at 701 S 12th Street, Arlington VA, 20598 are required. Period of Performance TSA has identified two dates that are suitable for this conference: April 27 to May 1, 2009 or April 20 to April 24, 2009. Vendors may submit cost information for either or both options. Specific Requirements Meeting Space: •1 Conference room large enough to accommodate 200 people • 5 Breakout rooms large enough to accommodate 40 people each ( it is acceptable if the large conference room can be divided into smaller breakout rooms provided that air walls are in place to enhance the privacy between groups •Each room should be setup in crescent rounds •Will need an additional room for morning and evening staff briefing as close to the larger conference room as possible. A boardroom type setup is preferred. AV needs: •Large Conference room-1 projector screen, 1 AV Cart, 2 easels with flipcharts and markers, wireless microphone, and podium •5 Breakout rooms- 1 screen, 1 AV cart, 1 easel with flipchart and markers Refreshments (Optional – Hotels are not required to offer refreshments): (Hotels may offer refreshments only if it’s part of “package deal” price offered to TSA. The cost of the refreshments must not be more than the aggregate cost of the other conference services such as the meeting room space, audio/visual equipment, etc.) •Morning and afternoon refreshments: oCoffee, Tea, pastries for the am refreshments oCoffee, Tea, assorted sodas, cookies for the pm refreshments Miscellaneous: •6 Complimentary Parking Passes: •Complimentary wireless internet access in large conference room Method of Award TSA will enter into an agreement with the hotel that offers the lowest price, and meets all of TSA’s requirements. Hotels may offer an agreement with a total price including refreshments and pricing without refreshments (for conference space and audio/visual equipment only). Point of Contact Interested parties should submit draft hotel agreements prior to the expiration of this posting to Frank McNally at frank.mcnally@dhs.gov. Only electronic documents will be accepted. The Government reserves the right not to pursue any actions, to include the award of a purchase order contract, as a result of this synopsis.
