- Soliciting interested parties concerning a potential hotel and convention site for the Department of Veterans Affairs (VA) 2008 Industry Conference. Looking for a location that can provide lodging, meals, conference rooms and audio visual support. Location must accommodate an estimate of 600-800 attendees in a safe, comfortable surrounding during the 2nd week of October 2008; 2 days consecutively in timeframe of Tuesday through Friday (Oct.7 thru 10th). Location must be 508 compliant (handicap accessible) and be listed on the USFA Hotel and Motel National Master List. Location must be within a 25 mile radius of O???Hare Airport and must be rated at four stars or above (using the Mobil Travel Guide Star Rating System). This federal government event would require 1-3 night stay for participants at the conference hotel and/or surrounding hotels. Conference and hotel facilities must be co-located and have adequate parking facilities. Conference days are expected to begin at 8 a.m. local time and conclude around 3 p.m. Space is also required for an initial plenary session that can hold all attendees for a period of 60-90 minutes; additional space is required for numerous break-out sessions lasting between 60-90 minute intervals that can accommodate groups of 150, 200, 250, 350, and 400 participants during these time periods. One meeting room must facilitate 3 standard 10 x 10 booths with space for a meet and greet session. Additional exhibition space might be required for a few exhibitors during the first day of the conference. Planners may consider reception event and other amenities that may be beneficial to the attendees (e.g. convenience to airport, transportation to and from airport, as well as local entertainment venues, services available within conference/hotel location, local events and attractions). Agreed upon lodging rates must also apply to one day before and after the conference. On-site lunch accommodations must be available with variety of foods to serve 400 or more patrons within 90 minutes.
