- This is a combination Request for Information (RFI) and Sources Sought request. The Army and Air Force Exchange Service (AAFES) is interested in a solution for destroying physical data on media. AAFES is interested in responses from firms that specialize in the scope of work discussed in this message. After information is received and reviewed, AAFES will use the information gained to structure a future multiple source solicitation. What is AAFES? We are a joint military activity providing quality merchandise and services to active duty, guard and reserve members, military retirees and their families at competitively low prices. We are a multi-channel retailer, offering products to authorized customers via retail stores, catalog and online. We also provide military communities with convenience, specialty stores and movie theaters on installations worldwide, including locations in Operations Enduring and Iraqi Freedom. We operate more than 3,100 facilities worldwide, in more than 30 countries, five U.S. territories and 49 states. AAFES operates some 160 retail stores and 2,063 fast food restau?rants, such as Taco Bell, Burger King, Popeyes and Cinnabon and many more. What does AAFES require? Specifically, we want a solution to destroy physical media in the form of tapes, platters, optical drives, hard drives floppy disks, CD ROM disks, and DVD disks. We estimate the number of media items to be destroyed annually to be between 1,000 and 5,000 pieces from our 3,100 facilities worldwide. What do we want you to submit? Please provide a written response to the following information and questions. 1. What if AAFES purchases the hardware/equipment necessary to destroy media? a. What is the destruction process when using this equipment? b. What warranty or maintenance services are typically offered? Please include company literature for the products discussed. c. How is this equipment typically priced and do you have publicly available pricing lists that you can provide AAFES? d. What destruction method is used disintegration, incineration, pulverization, shredding, smelting, or degaussing? 2. What if AAFES leases the hardware/equipment necessary to destroy media? a. What is the destruction process when using this equipment? b. What warranty or maintenance services are typically offered? Please include company literature for the products discussed. c. How is this lease typically priced and do you have publicly available pricing lists that you can provide AAFES? d. What destruction method is used disintegration, incineration, pulverization, shredding, smelting, degaussing, or other? 3. What if AAFES contracts with a firm to destroy the media at each AAFES location both CONUS and OCONUS locations or has the items shipped to a central contractor location for destruction? a. What is the destruction process when using this type of service? b. What certifications, proof of destruction, or reports are provided to customers of this service that confirm destruction took place? c. What company literature is available describing your services? d. How is this service typically priced and do you have publicly available pricing lists that you can provide AAFES? e. If media is mailed/shipped to a central contractor location how will it be secured during the shipping process? f. What if the media is shipped to one of three distribution centers? How would this impact the cost of the service? g. What destruction method is used disintegration, incineration, pulverization, shredding, smelting, degaussing, or other? h. How often would a firm arrive on site to detroy media? What is typical? How should you submit this information? However AAFES does want to understand how the industry prices these solutions. Please provide your standard list pricing information with your response. DO NOT INCLUDE A PRICE QUOTE. In the event AAFES solicits, price quotes will be requested at that time. AAFES intends to use this information to determine a future multiple source solicitation. Responses to the RFI are requested by 2:00 PM central time, 27 September 2007.
