Description
This is a modification to the synopsis entitled Military and Aerospace FPGA Applications Conference NNG07213071Q which was posted on 08/20/2007. You are notified that the following question and answers are posted: 1. How close can the venue be to the airport? ie. Is an airport hotel too close or preferred? Answer: The hotel should be a short distance convenient for walking to restaurants beyond the hotel. 2. Can you clarify the "labor" needed to staff the AV and registration area? Is this just an on-call person should you experience any issues or do you have extensive AV requirements/equipment to set-up/operate? Answer: A sound engineer primarily someone to watch lighting is needed to staff the AV equipment in the meeting area. There is no labor needed for the registration area. 3. Will there be a need for any other transportation for conference attendees other than a shuttle service to and from the airport? Answer: The only other required transportation for the attendees of the conference is the Tri-Rail. 4. Do you require, and can we initiate program and sound checks, or a run-through? Answer: A sound check for the speaker podium is needed at a minimum. 5. How many speakers will there be in total, per day? Will each speaker require their own microphone? Who will be using the wireless lavalieres? Answer: There will be approximately 15 speakers per day. The speakers will have an option to used the podium or the wireless microphone. The Session Chair of the conference will use a wireless microphone. 6. Do you require staging? If so, what size, distance from the audience, on stage seating, etc? Answer: Staging is not required. 7. You mentioned in the RFQ that you require hotel stays for two additional nights before and after the conference. Do you have an approximate number of guests for these nights? Answer: We require the availability of government room rate for approximately 25-30 guests two days before and after the conference. 8. Guests are required to book / pay for their own rooms. How far out do you require the venue to hold the room blocks (i.e. deadline date given to attendees to book their rooms for hotel to release the block.) Answer: We require the venue to hold the room blocks for the conference three weeks prior to the conference which is negotiable. 9. Lunch set-up, the RFQ listed a separate room for lunch. Can the lunch area be a separate section of the main ballroom or does it have to be in a separate room altogether? Answer: A separate room from the meeting room is required for the lunch area. 10. Do you have need for any liability insurance or cancellation insurance? Answer: No. 11. Do you require a "wrap-up" session after the conference, or may we initiate a "wrap-up" session via in-person meeting, phone, or web cast? Answer: No, but we will want to hold a debriefing with the hotel staff. 12. Will there be a printed itinerary/schedule for the conference that we have a copy of prior to the conference? Answer: Yes there will be a printed itinerary/schedule for the conference as soon as venue is chosen. The due date for responses is not extended. Documents related to this procurement will be available over the Internet. These documents will reside on a World Wide Web (WWW) server, which may be accessed using a WWW browser application.
