- 2. DESCRIPTION. In addition to the details specified in the Schedule, the contractor shall provide services according to the following descriptions: a. CONFERENCE ROOMS AND FEES. (1) The conference rooms shall be spacious for the number of attendees specified in the Schedule and shall be free of any obstructions (e.g., columns or support beams) that would interfere with seated attendees views of the front of the rooms. The rooms shall be private and sufficiently soundproof that noise from the outside hallway will not interfere with conference presentations. The rooms shall be heated, well ventilated, and sufficiently well lighted to allow attendees to read handouts and take note s. (2) The large room shall contain sufficient tables and chairs to accommodate the number of persons listed in the Schedule and additional self-funded attendees, for a total of approximately 72 persons. Each attendee shall be provided a comfortable chair w ith a padded back and seat. There shall be sufficient tables to provide each attendee with at least eight (8) square feet of individual writing space at a comfortable writing height. The tables and chairs shall be set up in classroom style facing the fro nt of the rooms. The small room shall be used for administrative staff only for a total of approximately 5 persons. (3) The equipment provided in the schedule will be in the conference rooms, as requested, and available for continuous use. The rooms shall contain sufficient electrical outlets to operate this equipment, and several notebook computers being brought by p articipants for use during the conference. The contractor will assist in setting up the equipment on an as-needed basis. (4) The conference rooms shall be unlocked no later than 0700 hours on each day contracted for, or earlier at the Conference Coordinators request. The room shall be cleaned daily and shall be locked at the end of each days instruction. b. SUPPORT EQUIPMENT. Contractor shall provide audio/visual equipment, including projector, screens, and DVD player. There shall be a microphone connected into a speaker system that can be clearly heard, and a podium for the instructors. 3. ADDITIONAL TERMS AND CONDITIONS. a. Coffee Break Refreshments. The contractor will provide morning and afternoon refreshments during the conference period 26- 30 July 2007. The premium package upgrade includes a morning break which includes fruit, juice, pastries, coffee, tea, and an a fternoon break which includes cookies, soft drinks, coffee and tea. Exact break times will be coordinated with the conference coordinator and the hotel staff. b. MEALS. (1) The unit price for each bed night in the hotel shall include three full meals daily. Meal service will start with the evening meal on the first day of occupancy and end with the noon meal on the day of departure. The lunch meal serving time shall be 1200 TO 1330. (2) The lunch meal shall be served buffet style. The dining room shall be able to seat all hotel guests for each meal in one sitting. The contractor shall designate the conference attendees dining area as a nonsmoking area for all hotel staff and guests. (4) Lunch shall include, as a minimum, soup; salad; a hot entree (at least two choices will be available from the beef, poultry, or fish groups, and at least one fish or vegetarian entree shall be offered with each meal); assorted vegetables; potatoes, ric e, or noodles; bread or rolls with butter; one beverage, and dessert. The lunch menu shall differ for each day. (5) The contractor shall collect any amounts owed for food or beverages not covered by the contract (e.g. alcoholic beverages) directly from the individual(s) who placed the order. c. Lodging. (1) All rooms shall be single or double occupancy and sized in accordance with U.S. Governments Joint Federal Travel Regulation. English speaking employees are available at all times. All rooms include private bath, color TV with AFN and video channels, hair dryers and telephone and coffee maker. Iron/Ironing boards can be provided upon request. Phone and movie charges are the responsibility of the individual and will be paid upon check out. L odging shall support an environment that is military friendly. (2) Advanced party will arrive on 25 July 2007 for 6 nights for 10 persons. (3) Main participants will arrive at the beginning of each of the three separate conference sections. Covey Training: 26 July for 1 night for 40 persons Chain of Command: 27 July for 2 nights for 60 Covey Training (2nd group): 29 July for 1 night for 40 persons (4) Additional rooms will be reserved for distinguished guests for the entire conference period. 26-29 July for 4 nights for 12 persons (5) Parking is provided for all guests with a choice of open bay or underground secured parking. (6) Free time activities included in the cost of lodging are indoor/outdoor swimming pool with whirlpool, sauna and Fitness Center. Other activities are available at a nominal charge to the individual. (7) The contractor will provide all services from 25 to 30 July 2007. d. Liability for Charges. The Contractor acknowledges that items of a personal nature, including telephone calls, bar tabs, and additional charges will be the responsibility of the individual participants and not the U.S. Government. e. The contractor shall implement and maintain cost and schedule monitoring procedures adequate to provide performance reporting and timely identification and resolution of all problems that effect proper completion of this effort. The contractor shall pre pare and support all functions as described above in order to accomplish this mission in the most efficient manner. f. The contractor shall provide a secure US DOD access only area in order to provide for force protection.
