Description
The Department of Education (ED) seeks to procure for the Division of Academic and Technical Education located in the Office of Vocational and Adult Education (OVAE), the service of a hotel in the Washington, DC metropolitan area during the period of May 11, 2007 through May 18, 2007, to provide sleeping rooms, meeting space, audio equipment and selected miscellaneous support for a discretionary grant competition under the Native American Career and Technical Education Program (NACTEP). Approximately 50 persons will be involved daily on site in this review activity. The hotel shall: a) meet the requirements of the Hotel/Motel Fire Safety Act; b) be located within walking distance to/from a metro station; c) be located in a safe, well-lit area; d) be accessible to individuals with disabilities; e) provide a superior setting, which is neat, clean, and attractive; f) have a restaurant(s) within walking distance of the hotel. Specific service required for this grant competition are: a) One lodging room on Saturday, May 12, 2007 and 30 lodging rooms for Sunday, May 13, 2007 through check-out time on Friday, May 18, 2007; b) One conference meeting room is required on Monday, May 14, 2007 from 8:30 a.m. to 11:30 a.m. to comfortably accommodate approximately 50 people at round tables of four to eight people per table. There shall be no visible obstructions, such as columns, which could impede the vision of attendees. In this conference room, the hotel shall provide a head table to seat at least 6 people, a wireless handheld microphone, and a podium with microphone and associated sound system; c) A minimum of three secured rooms: 1)One secured control room is needed from Monday, May 14, 2007 through Friday, May 18, 2007. This control room shall have space large enough to house 30 boxes, as well as, have table space and seating to accommodate at least ten people; 2) One secured room is needed from Monday, May 14, 2007 through Friday, May 18, 2007 to house up to six laptop computers and three printers. A table and chairs are needed to accommodate at least ten people; 3) One or more secured rooms to receive and store 30 boxes of grant applications and materials from Friday, May 11, 2007 through Sunday, May 13, 2007. On Sunday, May 13, 2007, hotel staff shall move the boxes to the assigned control room location; d) One well lit room (suitable for reading grant applications) with telephone access is needed from Monday, May 14, 2007 through Friday, May 18, 2007 for a local reader from 7:30 a.m. - 6:00 p.m. A table and chairs are needed to accommodate at least two people; e) If the hotel is not a suite property, then ten panel discussion rooms are needed. These rooms are needed from Monday, May 14, 2007 through Friday, May 18, 2007. The panel rooms shall have telephone access, a table and seating to accommodate at least four people. Award will be based on the lowest technically acceptable cost proposal. All responsible sources may submit a quote that, if timely received, shall be considered by the agency. Offerors should submit a technical and cost proposal. Responses due April 19, 2007 by 10 a.m. EST.
