- The Health Resources and Services Administration (HRSA) is conducting marketing research by issuing this request for information synopsis to locate HUB Zone Small Businesses capable of providing logistical, management, and clerical support services. The tasks carried out under any resultant contract require expertise in conference planning. If required, the contractor should have the staff, facilities, and capabilities to perform the following: ? provide on site staff during each meeting ? arrange for necessary AV equipment ? duplicate background meeting materials prior to and during each meeting ? develop and submit a draft and a final time schedule ? assume responsibility for all logistical aspects and coordination of the meetings by securing the location of a hotel, and locating and maintaining a list of invited guests and speakers ? create registration materials for the meeting and distribution ? process all registration materials submitted by participants ? confirm registration for each participant and send them an advance agenda/materials ? arrange travel for all out of town participants according to Standard Government Travel regulations for each meeting ? prepare and organize meeting materials for participants ? complete all reimbursements of travel costs and honorarium for meeting participants ? develop a planning report for each meeting ? create and maintain a database of the members, liaisons, and staff of the meetings ? arrange for a service to record each meeting proceedings and to produce a transcript ? after each meeting, when the reimbursements are complete, send to the project officer an itemized budget of the cost of the meeting ? prepare draft and final thank you letters for invited speakers ? submit a monthly report which includes significant accomplishments, significant problems encountered, and corrective action taken Capability statements should demonstrate experiences with and the ability to perform logistical services. Organizations should demonstrate capability to administer and coordinate interrelated tasks in an effective and timely manner. Documentation may include Government and commercial contracts, providing references (with names, telephone numbers, and email address) and any other information serving to document the organization?s capability. In accordance with the Federal Acquisition Regulation (FAR) 52.215-3, Request for Information or Solicitation for Planning Purposes, (a) The Government does not intend to award a contract on the basis of this solicitation or to otherwise pay for the information solicited except as an allowable cost under other contracts as provided in subsection 31.205-18, Bid and proposal costs, of the FAR; (b) Although ?proposal? and ?offeror? are used in this Request for Information, your response will be treated as information only. It shall not be used as a proposal; (c) This solicitation is issued for the purpose of providing logistical, management, and clerical support services for HRSA. Any HUB Zone Small Businesses may submit a letter of interest and/or capability statement, and it must be received in this office by 2:00 p.m. on April 10, 2007 by post office mail, email, or fax to the following address: HHS/HRSA; Attn: Gregory Ribovich; 5600 Fishers Lane, Room 13A-19; Rockville, MD 20857; voice (301) 443-4175; fax (301) 443-5462; gribovich@hrsa.gov. THE GOVERNMENT IS NOT COMMITTED TO AWARD A CONTRACT PURSUANT TO THIS ANNOUNCEMENT. RESPONSES SHALL NOT INCLUDE COST OR PRICING INFORMATION.
