- United States Patent and Trademark Office Enterprise Management Training for Managers September 6-8, 2006 Hotel requirements for event: Hotel must be no further than 100 miles or 2 hours driving time from the USPTO Headquarters in Alexandria, VA. Guest Rooms: Approximately 350-390 sleeping rooms on September 6 and 250-280 sleeping rooms on September 7, 2006. A Government purchase order will be issued for all sleeping rooms; however, incidentals are the responsibility of individual attendees. Conference Meeting Rooms: There will be a need for a single room capable of seating up to 700 persons during a plenary session on the second day. It must accommodate the 700 attendees at round tables of ten. In addition, there must be five breakout rooms that can accommodate 175 as well as two breakout rooms large enough to accommodate 100 attendees. All breakout rooms should be set up theater style. Dates: It is anticipated that the conferences will take place September 6-8, 2006. Meals: All meals will take place in the large banquet room. September 6: Continental breakfast for 350-390 attendees Plated lunch for 350-390 attendees Plated dinner for 350-390 attendees September 7: Continental breakfast for 700 attendees Plated lunch for 700 attendees Plated dinner for 250-280 attendees September 8: Continental breakfast for 250-280 attendees Plated Lunch for 250-280 attendees Audio Visual: The conference requires audiovisual equipment and support. Aside from the equipment, we will need personnel to set up the site, be on-site throughout the three-day event to run the equipment and trouble shoot any problems that might arise during the conference, as well as take down the site after the conference. The AV requirements for this program will include: Projection screens for the main banquet room, as well as in each of the breakout rooms Podiums, microphones, laptops Evaluation Factors for Source Selection: Selection will be based on the following factors: 1. Hotel layout: a. suitability of rooms for plenary session and breakout sessions and of common areas to facilitate networking and team building; b. proximity of rooms to each other and ease of movement among rooms; c. ability to adjust room temperatures and lighting. 2. Ease of access and security during arrival and departure of conference attendees and their luggage; 3. Quality of lodging (i.e. cleanliness and security) and ease of access to e-mail for conference participants. 4. IT / AV support 5. Total price for lodging, conference rooms, meals, and price list for IT / AV support. Price is less important than the other 4 factors combined. Your response must include pricing for conference and sleeping rooms as well as a breakdown of conference room space (layout, capacity, location, etc. and any additional information that the contractor desires to submit). The selected hotel must accept a Government purchase order. The Government, at its option, may conduct a site visit. This request for quotation shall not be construed as a commitment of any kind.
