Description
The Department of Veterans Affairs has a requirement for Hotel Accommodations, Conference Space Rental and Hotel Services located in the geographic area of Stapleton -Denver, Colorado. The Department of Veterans Affairs, Vocational Rehabilitation and Employment (VR&E) Service is sponsoring a training conference on the topic of "Contract Management." The hotel must accommodate 65 sleeping rooms per night (Based on timeframe), must provide all requirements specified for conference needs below, and must provide lodging rate within the Stated Federal Government per diem. Estimated 65 sleeping rooms per night from August 21, 2006 - August 24, 2006 and 45 sleeping rooms for the night of August 20, 2006. Based on the breakdown described, the total rooms requested are 65 each. All participants will be departing on August 25, 2006 need one or two accessible rooms for individual with disabilities. All rooms must be individual/private sleeping rooms with toilet facilities smoke free and at government per diem rate for Denver,CO. Payment will be via Government Purchase Order. Additional requirements for the hotel consist of the following Meeting space for General Session to be held on a 24 hour basis starting with setup for room and AV equipment on Monday August 21, 2006 beginning 7:30A through Thursday August 24, 2006 ending at 8:00pm. Set for 60 in half-round table seating for 4-5 persons. Ice water and glasses provided on each table with writing pads and pens. The following audio visual equipment will be needed podium; visual front screen projection; two wireless microphones; screen, laptop with DVD player, LCD, laser printer, and two high speed internet connections/phone lines). The General Session room must be without pillars/post to obstruct view, able to contain two six-ft tables for AV equipment and two laptop computers with high speed internet access in the back of room, and persons with mobility impairment are able to maneuver between the tables. An additional room for communications, meeting and storage is also needed. This room should be able to hold five staff members and supplies needed for conference. Hospitality/Registration Area Starting on Monday, August 21, 2006 at 10:00A (setup) through Thursday, August 24, 2006. Preference for hospitality/registration table to be outside the General Session room, needs two six-feet tables with skirting available with 2-3 chairs and a large trash can. Additional requirements hotel must be located no more than 20 miles from Denver International Airport (DEN) hotel should have the following amenities: Complimentary Business Center; Fitness Center; Gift Shop; in room internet access; swimming pool; free onsite parking or minimal charge; onsite 24 hour security; complimentary shuttle to and from the airport and area activities no less than eight mile radius of hotel; easy access to onsite hotel representative during business hours; restaurants within five blocks of the hotel. For information purposes are banquet services and facilities available and would discounted meals available, all inclusive meal option or meals offered at the federal government per diem rate. The specific instructions contained herein are intended to serve as guideline for the preparation of the quotation. In developing the quotation, the Contractor shall comply with the requirements stated in the description. THE GOVERNMENT INTENDS TO AWARD WITHOUT DISCUSSIONS. Therefore, each contractor is urged to examine this request for quote in its entirety and to ensure that their quote contains all necessary information, provides all required documentation, and is complete in all aspects. The awardee for this requirement must be register with the Central Contract Registration (CCR), please see website at www.ccr.gov or at (888) 227-2423. This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in Subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation; quotations are being requested and a written solicitation will not be issued.
