- USPTO?s China Road Show Conference ? Chicago, Illinois. The United States Patent and Trademark Office (USPTO) is seeking sources for conference space and services for the Chicago, Illinois for May 4-5, 2006, for the USPTO?s China Road Show Conference. The anticipated attendance is 250 persons including attendees, speakers and support staff. Sleeping hotel rooms for 15 people for three nights (May 3-6) are required which consists of 5 U.S. Govt. employees which will be paid on Government travel card, 8 non-Govt. employees which will be paid by personal credit cards, and 2 people which will be paid for under the U.S. Patent Office master account. Please note that the U.S. Patent and Trademark Office makes no arrangements or commitments for sleeping rooms for the conference registered attendees. A sleeping room list for 15 people for the U.S. Patent and Trademark Office will be provided to the hotel. The USPTO requires the following event space: Main Conference Meeting Room(s): A space which will accommodate 250 people in a classroom style. The space may be required for Wednesday, May 3, 2006, for A/V setup, and will be required for the actual conference, Thursday, May 4, 2006, and Friday, May 5, 2006, from 8:00 am ? 6:00 pm. The room does not need to be reserved the entire day on Wednesday, May 3, 2006, for the AV setup but adequate time is required. The room should be large enough for attendee seating, an A/V worktable in back, platform for videotape camera, and a dais in the front of the room with room for a podium and possibly for a table for seven people for panel discussions. High speed internet service is required in the main conference room on May 4, and May 5, 2006. Break Out Room(s) On Friday, May 5, 2006, from 1:30 pm to 6:00 pm, space is required to split the group into two groups (approximately 125 each) for different presentations. Classroom set-up is needed for the break-out session with room for a dais in the front of the room for panel discussion of up to 5 people, and space in the back for audiovisual table. The main conference room, can be used for one of the sessions. Refreshments for Breaks - The USPTO requires setup for breaks in the morning and afternoon on both days, May 4, and May 5, 2006. The morning break food and beverage should consist of al la carte menu items such as coffee, juice, water, soda, Danish, bagels, etc. The afternoon break food and beverage should consist of al la carte menu items such as coffee, water, soda, cookies, brownies, etc. Audio Visual The USPTO China road shows require an array of audiovisual equipment and support. Aside from the equipment, we will need personnel to set up the site, be on-site throughout the two-day event to run the equipment and trouble shoot any problems which might arise during the conference, and take down the site after the conference. The audiovisual equipment may need to be set up on Wednesday May 3. No videotaping of the program is required. The main conference room for both days requires double screens, IMAG, PowerPoint projection, and audio. The breakout room will need to be set for Friday, May 5 with single screen, PowerPoint projection, and audio. No IMAG needed for break out. Responses: If any hotel firm believes it is capable of meeting the USPTO?s requirements, a detailed capabilities statement must be submitted to include information that clearly demonstrates their ability to meet the USPTO?s needs.
