- Soliciting interested parties concerning potential hotel and/or convention site/location for a Department of Veterans Affairs (VA)/Department of Defense (DoD) 2006 Federal Healthcare Conference. Looking for a location that can accommodate 1,000 attendees in a safe, comfortable surrounding during the week of April 24 - 28, 2006 or May 1 - 5, 2006. Location must be 508 compliant (handicap accessible). Actual event would begin on Tuesday and conclude on Thursday. This three-day Federal government/industry conference would require 3 - 4 night stay at conference hotel and/or surrounding hotels for presenters and participants. Conference and hotel facilities do not have to be co-located, but within close proximity to each other. Co-location is preferred, but not required. Conference days are expected to begin at 8:00 a.m. local time and conclude around 5:00 p.m. local time. Approximately 1,000 attendees are expected. Space is required for registration booth for each day of conference. Space is also required for an initial plenary session that can hold approximately 1,000 attendees for a period of 120 ? 180 minutes, and additional space for numerous break-out sessions lasting between 60 ? 90 minute intervals and can accommodate groups of 150, 200, 250, 350, and 500 participants during these time periods. Additional exhibition space for approximately 150 ? 200 exhibitors required for the first two days of the conference. Planners may consider reception event and other amenities that may be beneficial to the attendees (e.g. convenience to airport, transportation to and from airport, as well as local entertainment venues, services available within conference/hotel location, local events and attractions, hotel rates during the conference and one day before and after conference).
