- NAICS Code: 5612 The Environmental Protection Agency Headquarters Office in Washington DC is presently interested in soliciting, negotiating and awarding a Government Purchase Order under Simplified Acquisition Procedures (SAP) for Conference Support Services in Phil PA Area Only for Nov 8 -10, 2004. http://www.epa.gov/oamhpod1/oppts_grp/phillyconf/index.htm CONFERENCE LOGISTICS: Conference Dates: November 9 & 10, 2004. Arrival on November 8, in the evening. Check-out on November 10. Location: Philadelphia, PA Participants: 50-55 participants, 35 of whom are SES, all but 2 or 3 in travel status REQUIREMENTS 50 Sleeping Rooms (Government Rate or below) Meeting from 8:00 - 5:30 PM each day Conference room that can accommodate up to 50 people at a U-shaped table (tables should have "drapes"), plus space for 15-20 observers around the periphery and a table for two note takers, at the back of the room Registration table outside of room AM & PM light refreshments (prefer mix of sweet and non-sweet items, e.g., bagels in the AM, popcorn in the PM, fruit for both AM and PM) AV EQUIPMENT Microphones - 2-4 lavalier microphones, table or handheld microphones for every 3-5 people. Podium, Screen, 4 Flipchart stands with paper and markers, and LCD Projector. Possible add'l AV needs (to be determined based on presenter requirements) Overhead Projector for manual transparencies TV/VCR/DVD player 1 Box LUNCH (participants will pay and be reimbursed through travel per diem ($12.00 or less)), within per diem (day TBD) 1 Group DINNER for November 9 (for approx 35 participants) - offsite, within per diem ($36.00 or less) MEETING ROOM should be well lit (natural lighting preferred) and well designed in terms of acoustics. Chairs should be comfortable. SLEEPING ROOMS must be clean, free from mold and mildew, comfortable, well lit, and away from busy corridors/intersections. Furniture should be "fresh" (i.e., not shabby or worn). Hotel must have lounge/bar/restaurant space for informal gatherings after the sessions Prefer to be near restaurants, bars and other sources of entertainment for after training hours. Would also prefer to be in a location that doesn't require participants to rent a car (i.e., a hotel with shuttle service to and from the airport or train station). Location must be well light. Interest vendors will also be required to fill out the Green Facility Checklist which MAY be used in the addition to above as evaluation factors.
