Description
NA Planning and Management of the MTMC Symposium The Contractor shall furnish all facilities, personnel, equipment and services for lodging accommodations, conference facilities, exhibit hall , audiovisual equipment, registration management, and all personnel and services necessary for set-up/take-down. This includes operating and maintaining the equipment necessary for a military transportation training symposium. It further includes making all arrangements with the hotel, including catering, ordering food and beverage guarantees, and room set ups. Th e management of all interactions with the hotel and/or other organizations necessary for Symposium support should be invisible to the Government, not resulting in disruption, additional cost, or slippage of any scheduled activities. Meeting Planner. The Contractor shall provide a Meeting Planner who shall act as a consistent, single point of contact prior to the start of the Symposium planning and assigned as the Agent throughout the entire Symposium process, including on-site. The Meeting Planner sh all provide coordination of all activities prior to, during and after the Symposium. The Meeting Planner shall be lodged on-site, available on a 24-hour basis starting on the first Wednesday at 12pm through the second Friday at 6 pm. The Meeting Planner shall be available for a “pre-conference” visit to the hotel with MTMC, should MTMC deem it necessary. If the COR determines that an annual “pre-conference” visit to the hotel is necessary, the COR shall provide the Meeting Planner 21 days notice prior to the visit or to any follow-up meetings. The Meeting Planner shall be available for an on-site “after-action” meeting on Thursday or Friday, and a follow-up meeting, if required by MTMC, at a location to be determined by MTMC . The Meeting Planner shall wear the Contractor’s uniform when on-site. Meeting Planner Qualification. This Meeting Planner shall be a Certified Meeting Professional (CMP) and/or Certified Meeting Manager (CMM) experienced, knowledgeable and empowered to ensure adherence to the requirements herein, to provide problem solving, assistance and support to MTMC, the COR, and Symposium attendees. Standards. The Contractor shall provide all standard services and amenities customarily provided to the general public as lodgers or conference attendees at the facility. Symposium Description. The MTMC Training Symposium (hereinafter “Symposium”) is held annually to discuss issues, programs, and policies pertaining to the Department of Defense (hereinafter DOD) transportation system. This is accomplished by general session presentatio ns and many functional breakout sessions conducted concurrently addressing significant policies, programs, operational, management and technology issues. Functional breakout sessions address more narrowly focused issues and programs and are tailored to sp ecific segments of the overall audience. The MTMC Quality Awards are announced and presented during the Symposium at a banquet dinner. Prior to the dinner, the Commanding General will host a reception honoring the award recipients. The Symposium include s the Commanding General’s Leaders’ Conference and the military services’ specialized meetings. Attendance. Over 1,800 DOD military and civilian personnel of all branches of services, federal, and state agencies, as well as representatives from the commercial transportation industry attend the Symposium. Dates. The dates for the base period are 1 April 04 through 31 March 06 plus 30 days for closeout, should the Option Period not be exercised. The dates for the option period are 1 April 06 through 30 March 08 plus 30 days for closeout. Dates for consideration are the third week of February through the second week of May, excluding Easter week. The conference facility shall be available for ten days, starting on a Wednesday and concludin g on the second Friday. Duration. The Symposium shall be held in the same facility and city for two years in a row during the base period and during any option periods of the contract. Each Symposium will run for a consecutive ten-day period. As an example, during the base period (years one and two) the Symposium shall be in facility/city-A; during the first option period (years three and four), the Symposium shall be in facility/city-B; and so forth. Post-Symposium wrap-up shall be completed 30 calendar days after the end of the confere nce.
