Description
NAICS Code: 813920 Statement of Work: Environmental Protection Agency (EPA) requires assistance with the 2003 Community Involvement Conference (CIOC) and Training Award's Ceremony and poster sessions taking place during the week of July 22-25, 2003, in Philadelphia, PA. It is anticipated the poster session shall run for the first 2 days of the conference with the award ceremony on the last day. The posters will be submitted by conference attendees. Specifically, the contractor will be required to perform the following tasks: Task 1) The contractor shall publicize the 2003 CIOC Conference to professionals in the community involvement field. EPA will provide the contractor with copies of the conference brochure and agenda in both paper and electronic formats at the time of contract award. In the interest of time, the distribution of these materials should be via e-mail and/or fax, no later then July 11,2003. Task 2) The contractor shall be on-site at the conference to cooridinate the poster session (10-15 posters) at the conference. Coordination will include all communications with the poster session presenters. In addition, this will also include developing a design plan for display of the posters. Task 3) The contractor shall develop a plan to evaluate the posters submitted at each poster session. Two awards will be presented, a Best Overall Award and a People's Choice Award. For the Best Overall Award, the contractor shall select a panel of judges and provide them with instructions and a standardized set of evaluation criteria to judge the posters. Using the evaluation criteria, the judges will award a score to each poster. In regard to the People's Choice Award, the contractor will be required to draft an evaluation form for conference attendees to complete and select a recipient of the award. The contractor must submit the judges' evaluations and ranked scores for the People's Choice Award to the EPA Project Officer prior to the award ceremony. Task 4) The contractor shall the prepare awards to present for the two awards being given at the award ceremony. Proposal Instructions: Proposals shall be submitted electronically, via e-mail only, to the following e-mail address: armstrong.claudia@epa.gov. They are due on or before Monday July 7,2003, 10:00a.m., eastern standard time. Late proposals will not be considered. Facsimile, telegraphic, hand-delivered or proposals submitted in any other form of mail will not be accepted. Any questions regarding this RFQ must be submitted in writing by Thursday, July 3, 2003, 11a.m. eastern standard time. They can be e-mailed to: moorman.wanda@epa.gov. Phone calls will not be accepted. Proposal Evaluation: All proposals will be evaluated based upon their content in response to the tasks of the SOW and price.
