Description
The Federal Bureau of Prisons (BOP) is conducting market research to locate sources and information on commercially-available food service software programs. The BOP does not intend to award a contract on this basis of this Sources Sought notice or to otherwise pay for information received in response to this request. This Sources Sought notice is being issued for information and planning purposes only and does not constitute a solicitation. The BOP is attempting to identify sources and features of commercially available food service programs. The BOP is interested in food service programs with the following functions: 1. BUDGET - the ability to compile quarterly and yearly budget projections using information from menus, recipes, and inventory balances. 2. INVENTORY - the ability to maintain and track subsistence and non-subsistence inventories via manual or barscan entry; and to generate order processing forms utilizing inventory status, menu plans and required nutritional analysis. 3. ORDERING PROCESSING - the ability to develop manual-type shopping lists as well as provide for more complex automation that can be integrated using menus, recipes and inventory balances. 4. QUOTE/BID ANALYSIS - the ability to analyze, sort and evaluate bids; to evaluate and compare quoted prices and known costs to establish fair market values; and to easily access and retrieve vendor and previous award documentation to assist with order documentation. 5. PRODUCTION - the ability to produce screen-viewable and hard-copy recipes, production sheets, menus and other food service documentation; to offer user-friendly entry and adjustments to menu items, portion sizes and population changes to ensure appropriate recipe yields and eliminate waste and; to properly identify each individual served to avoid waste and ?double-backing? in regards to the number of meals allotted. 6. WAREHOUSING - the ability to print warehouse-type forms to include: requisition sheets, receiving reports, stock-record cards and survey stock sheets; and to track donated and commodity items from other government agencies to ensure availability of storage. 7. MENU PLANNING/NUTRITIONAL ANALYSIS - the ability to plan, add and change menu items and recipes cards; and to analyze individual food items, meals and menus for required nutritional adequacy. 8. TRAINING/SUPPORT - Local support for installation/setup/implementation is required (Locations are not determinable at this time). Technical phone support, with internet/modem remote access service shall be made available on an as-needed basis. On-site training, which includes tutorial modules, system manuals and workbooks is needed to ensure appropriate setup at initiation and the accessibility of resources for future reference. An additional requirement of the BOP is the need for flexibility and the requirement of the software to be capable of handling future requirements involving: distribution centers, data entry from multiple sites, cook/chill food preparation methods, satellite kitchens and meal/transportation deliveries. From potential sources, the BOP requests marketing information, product literature, present and pending contract vehicles, pricing information (MSRP), requirements associated with configuration of the software programs, maintenance and subscription services, the necessity and costs associated with updates, and warranty information. All information received in response to this notice that is marked proprietary will be handled accordingly. Responses to this notice will not be returned. A response to this request may be submitted in any format, including standard marketing information. Each company submitting information must include: company name, point of contact, address, telephone number, e-mail address and business size.
