Description
The Department of Justice (DOJ), Conference and Contract Section, intends to award a contract to a qualified vendor who can provide sleeping rooms, meeting space and meals for conference services in Washington, DC on September 22 through 25, 2002. These dates have been pre-established and are unlikely to change; therefore, interested vendors must be able to provide accommodations available for the date(s) listed. The conference venue must include at a minimum: 1. Meeting Facilities - September 23, 2002 (7:00 am - 5:00 pm)- Ballroom to accommodate 150 people in rounds. September 24 and 25, 2002 (7:00 am - 5:00 pm) Ballroom to accommodate 200 people in rounds. September 25, 2002, (10:00 am - 5:00 pm) (4) breakout rooms each to accommodate 40 people in classroom style. 2. Audiovisual Requirements: - September 23-25, 2002, Podium and Mic., LCD, Screen, Flip Charts, 2 Wireless Handheld Mics. with floor stand, 6 easels, a registration table, an information table, notepads and pens. September 25, 2002, 8 Flip Charts. 3. Sleeping Rooms - 85 sleeping rooms must be available for the nights of September 22-24, 2002. A rooming list will be provided. Each participant is responsible for incidentals, damage, etc. 4. Catering Requirements - September 23, 2002 - Continental Breakfast (100) Working Buffett Lunch (100) Afternoon Snack (100) Coffee Refresh all day September 24, 2002 - Continental Breakfast (200) Afternoon Snack (200) Coffee Refresh all day September 25, 2002 - Continental Breakfast (200) Afternoon Snack (200) Coffee Refresh all day Location - The hotel must be located within a 20 block radius of 1100 Vermont Ave., NW, Washignton, DC. Federal Regulations require that any hotel/conference space contracted shall comply with the American Disabilities Act (ADA) requirements and the FEMA, Fire Prevention and Control Guidelines. Prospective vendors are to submit a quote that include a written proposal addressing all of the services, proposed menus, types of accommodations and equipment to be provided. Proposals are to be priced under the following topics, which include total and itemized rates/prices, quantities: Lodging, Catering, Meeting Facilities, and Audiovisual. The requirement will be procured under Far Part 12, Acquisition of Commercial Items. FAR 52.212-3, Offeror Representations and Certifications-Commercial Items, must be completed and included with any and all offers submitted in response to this solicitation. FAR Clauses 52.212-4, Contract Terms and Conditions-Commercial Items is hereby incorporated by reference. The Clause at 52.212-5, Contract Terms and Conditions Required to Implement Statutes or Executive Orders-Commercial Items is hereby incorporated by reference.
