- BACKGROUND: Reference our 3 May 02 Sources Sought Announcement (Number 797-02-08) regarding a possible requirement for Information Technology Support Services being considered by the Department of Veterans Affairs. The purpose of this announcement is to notify interested firms that the "Industry Day" has been scheduled for this potential acquisition. The purpose of our Industry Day conference is as follows: 1) Inform industry what we are considering; 2) Exchange information, ideas and approaches regarding the potential acquisition; 3) Provide an opportunity for industry representatives to network with each other; and 4) Define and focus our acquisition approach. INDUSTRY DAY INFORMATION: The Industry Day is scheduled for Tuesday, August 6th 2002, at the Holiday Inn Austin South, 3401 South IH-35, Austin, TX 78741, in the Apollo Ballroom. Doors will be open at 0730 (Central Time) for registration. The conference will begin at approximately 0830 and conclude by 1600, with a 90-minute break for lunch. We must limit the total number of participants to 350, the capacity of the facility. To accommodate all interested parties, we are limiting the number of representatives from each firm to two. Reservations will be on a first come basis up to the 350-person limit. Only electronic requests to attend will be accepted. Your request must contain your companies name, address, name of the representative(s), phone number(s) and email address(es) of the persons who will be attending. We will confirm, via email, that you are on the guest list. The cutoff date for signing up for the conference is July 30th, 2002, unless all the spaces are taken before then. After July 30th, we will try to accommodate additional representatives if the space is available. In addition, we have made arrangements to reserve a block of rooms at the Holiday Inn Austin South at a discounted rate for this conference if you are interested. You may contact them at (512) 448-2444 if you are interested in taking advantage of this discount. You will need to mention that you are attending the VA Industry Day. The August temperatures in Austin can be extreme. Therefore, casual business dress is encouraged. PROPOSED AGENDA: To ensure that attending this conference will meet your expectations and is worth the investment of your time and travel expenses, the following agenda for the government presentation is provided: 1) Purpose of the Industry Day; 2) Ground Rules; 3) Overview of the Acquisition Initiative; 4) Functional Areas; 5) Background/History; 6) Goals of the Proposed Acquisition; 7) Key Aspects of the Proposed Contract Vehicles; 8) Proposed Contract Characteristics; 9) Possible Acquisition Approach; 10) Road Ahead; 11) Acquisition Success; and 12) Common Issues. In short, the focus of the conference will be the possible business approaches and not the specific technical requirements. In addition, an important factor in your decision to attend this conference may be our approach to the scope of the proposed acquisition. Please be informed, our approach is to pursue contract(s) that will cover the entire spectrum of IT services, not contract(s) for individual functional areas. We anticipate our presentation to take approximately the first 3-hours, leaving the remainder of the day for discussions and questions. In addition, we have established a location on the Austin Automation Website for this acquisition and we will post our briefing charts No Later Than 31 July 2002 to provide you a "read ahead." The website is: http://www.aac.va.gov/gitss. We will not provide hardcopies of the charts the day of the conference so please come prepared with your own. Please note the Government will not be responsible for any expenses associated with your participation in this conference. Attendance is not mandatory to participate in any subsequent solicitation for this requirement but it is important for several reasons. First, we will be providing more specific insights to the genesis, goals, approaches and rough schedule of the proposed acquisition. Second, this will be an opportunity for you to provide feedback and have a positive impact on the acquisition process. Finally, the conference will allow an opportunity for you to network with other firm's representatives for possible teaming partners/subcontract arrangements. This may be especially important given that our approach is to pursue omnibus contract(s) that cover the entire spectrum of IT services. We welcome your suggestions for additions or changes to our agenda for the presentation and we will do our best to accommodate your inputs. We also suggest that you forward your questions via email in advance so that we can research and improve the quality of the response at the conference.
