Description
U.S. Department of Commerce/NOAA/Office of Marine and Aviation Operations (OMAO) has a requirement for its Annual Conference to be held on January 04 thru 10, 2003 at the Inner Harbor area of downtown Baltimore, Maryland. The contractor shall provide lodging, meals, meeting rooms (including "break-out" rooms), fitness center, and shuttle service as follows: Lodging: Day Date Rooms/Night SAT 1/04/03 35 SUN 1/05/03 65 MON 1/06/03 85 TUE 1/07/03 85 WED 1/08/03 85 THU 1/09/03 85 FRI 1/10/03 5 Meals: Continental Breakfast for approximately 100 people shall be served beginning Sunday morning, 1/05/03 and continue through Friday morning, 1/10/03. The Continental Breakfast shall be available each day from 7:00am ? 8:00am. A selection of coffee (regular and decaf), tea, juice, pastries, muffins, bagels, and assorted fresh fruit are to be provided. Morning Buffet for approximately 100 people will be replenished to accommodate a morning "break" of 15-20 minutes duration, approximately 10:00am or 10:30am (exact time to be determined later). Afternoon "Break" for approximately 100 people of 15-20 minutes duration shall be between 2:00pm ? 2:30pm (exact time to be determined later). An assortment of coffee (regular and decaf), tea, assorted soft drinks, assorted cookies or equivalent snacks are to be provided. A "plated" dinner for approximately 100 shall be served on Tuesday evening, 1/07/03 as part of OMAO's Annual Employee Awards banquet. Meal choices will be either fish or chicken (actual menu to be determined later). Meeting Room(s): The contractor shall provide one (1) large conference room to seat approximately 85 people for each day of the conference. Seating arrangements will be determined later, but circular tables with no more than six (6) per table is preferred. The meeting room shall have a Table to accommodate audiovisual equipment at front of room, additional utility table at front of room, pens, pads, ice water, and mints on each table, tables sufficient to accommodate morning and afternoon breaks (referenced above), either outside large conference room or at rear of large conference room, sufficient wastebaskets, registration table for attendee check-in either outside large conference room or at rear of large conference room, six (6) flipcharts with easels and sufficient marking pens with at least four (4) different colors available, Laser pointer, and Masking tape (6 rolls). The contractor shall provide two (2) smaller "breakout" rooms for each day of the conference. Each breakout room shall seat approximately 25 people. Seating arrangements will be determined later, but circular tables with no more than 5 per table is preferred. The breakout rooms should be as close as possible to the large conference room mentioned above. Each Breakout Room shall have sufficient wastebaskets, four (4) flipcharts with easels and sufficient marking pens with at least four (4) different colors available, Laser pointer, and Masking tape (6 rolls). The contractor shall provide shuttle service To/From the conference site (hotel) and Baltimore/Washington (BWI) airport, for conference attendees on a "complimentary" basis. Electronic Support: The contractor shall provide the following electronic support from the facility for the large conference room: Podium with optional handheld microphone and sufficient speakers for the large conference room, Slide projector, Overhead projector, Computer projector, Large screen sufficient for the large conference room, and associated wiring/cables to support laptops and/or desktop computers and projectors. Business Center : The contractor shall provide for conference attendees access to the Internet/World Wide Web in order to check official email. It would be especially beneficial if this capability was available outside of routine business hours, i.e., from 6:00am to 10:00pm, on a "complimentary" basis. Fitness Center: The contractor shall provide on its premises, or have access to very nearby, a modern, fully-equipped fitness center, on a "complimentary" basis. This requirement is issued as a combined synopsis/solicitation. Interested parties are invited to submit a proposal in response to this solicitation by the response/closing date of 6/21/2002. Awawd will be made on a "Best Value" basis using simplified acquisition procedures, and subject to the availability of FY 2003 funds.
